
VENUE CONTRACT NEGOTIATIONS &Â MANAGEMENT
- Work with client to establish budget
- Establish parameters with client including:
-> headcounts, number of sleeping rooms, catering, audiovisual &/or meeting space needs
- Set up an event agenda / timeline to incorporate into negotiations
- Research pricing online & via other resources for multiple venues prior to making direct inquiries
- Inquire and negotiate prices, terms and concessions with multiple venues
- Provide proposals from each venue that meets the client's established parameters including:
-> quotes, terms and a list of concessions
- Work with selected venue on drafting final contract
- Review final contract to ensure all prices, terms and concessions are accurate and accounted for
- Submit final vetted contract to client for review and signature
- Provide a bullet point timeline covering all contract terms & deadlines including:
-> deposits, attrition, cancellation, banquet event orders & final headcounts
- Remind client 2 weeks prior to each established deadline so that appropriate action can be taken
